A large exhibition stand rarely fails approval because the idea is too ambitious. More often, it fails because a striking visual concept has not yet been translated into the technical information an organiser, venue or structural engineer needs to assess it safely. For marketing and event teams, approval can feel like an administrative hurdle between the design presentation and the show floor. In practice, it is the point at which a stand becomes buildable. Getting it right early safeguards the budget, avoids last-minute redesigns and gives your project team the time and certainty needed to deliver a confident, high-impact presence.

Why large stand approval needs more attention

The larger, taller or more unconventional the stand, the more interfaces need to work together. A straightforward shell-scheme space may only require basic exhibitor information. A custom build with raised structures, suspended elements, enclosed rooms, display vehicles, machinery or hospitality areas can require drawings, calculations, materials details, electrical plans, risk assessments and method statements.

Approval requirements vary by event and venue. One organiser may treat a 4-metre feature wall as a complex structure, while another may focus more closely on rigging points, emergency egress or sightline restrictions. International exhibitions can introduce further differences in local regulations, submission formats and working practices. The right response is not to assume that a previous stand will be approved again. Start with the current event manual and confirm the requirements for the specific hall and space.

Start with the organiser’s technical rules

Before design moves beyond the initial concept stage, obtain the exhibitor manual, technical regulations and deadline schedule. Do not treat the stand footprint as the only boundary. Height limits may differ across a hall, especially beneath services or near doors. Plan for people, not just the structure

A stand can be structurally sound and still create approval issues if visitor movement has been overlooked. Large stands often contain product displays, hospitality spaces, theatres, private meeting rooms and active demonstrations. Each feature changes the way people enter, dwell and leave.

Consider peak traffic, not average footfall. A product launch or hospitality service can quickly create queues that spill into gangways. Where a platform or raised area is proposed, consider ramps, handrails, edge protection and inclusive access from the beginning.

Health and safety documentation should reflect the real installation and live operation. Generic risk assessments are rarely persuasive for a major build. A method statement is equally valuable. It explains how the stand will be built safely within the available time, including delivery arrangements, labour, plant, exclusion zones and dismantling. Respond to comments without losing the idea

The strongest response is prompt, clear and evidenced. Address each point directly, update the relevant drawing or document, and make sure all versions are controlled. Avoid informal changes that are agreed verbally but never reflected in the final package. On-site teams need one approved source of truth.

Where a requirement appears to undermine an important part of the experience, look for an equivalent solution. A height restriction may be answered through lighting, a more considered façade or elevated branding that does not exceed the limit. An enclosed room may become a more open hospitality zone. Keep approval alive through build and handover

Approval does not end when an email confirms acceptance. The finished stand must match the approved information.
