At Saward Marketing and Events, we support clients during every step of the event lifecycle, especially in the run up.

From being on the ground to keep things moving, solving problems quickly, and making sure teams can focus on what they’re actually there to do.

Sometimes that’s helping with the practical details:

Is the stand build running to schedule?
Have deliveries landed where they should?
Does the team have what they need for the day ahead?

Sometimes it’s bigger-picture support:

Helping clients make quick decisions when plans change.
Managing suppliers and contractors.
Keeping budgets and resources on track in real time.

And sometimes it’s simply being a calm extra pair of hands in a busy environment.
Events can move fast, priorities shift, and things don’t always go exactly to plan - and that’s completely normal.

Our job is to be there with our clients to help navigate those moments, keep things moving forward, and making sure the event delivers what it needs to.

Sound like useful support? Then get in touch - we’d love to help.

What do you do when an event you regularly attend, and you regularly get great results from - suddenly takes place in an entirely new venue?

Last week we spoke to a client considering whether to attend an event that had moved venue. The questions you've got to ask are:

Is this the right hall?
Will visitor flow be different?
How easy is access and logistics?
Does the stand position still work?
What are the hidden costs or restrictions?
Will the audience behave differently in this venue?
Will people even travel to the new city/country in the first place?

These are the things that can massively influence whether an event delivers value for clients, or becomes a frustrating and expensive experience.

Event sales teams absolutely have a role to play, and they’re often brilliant at helping businesses understand opportunities within a show.

But at Saward Marketing and Events, we see part of our role as being the “critical friend” too.

Through our decades of experience and industry knowledge, we help clients step back and understand:

Is this the right investment?
And how do we make the smartest decisions with the budget available?
Does this genuinely align with your wider event, sales and marketing objectives?

Sometimes that means recommending bigger visibility, sometimes it means keeping things simple.

And sometimes it means saying a venue, hall, or even an event itself might not be the right fit this year.

That outside, professional perspective really matters when you’re committing serious time, money and resources to exhibiting.

So want to chat with us about any of your upcoming events, and how you can get the most value from them? Just get in touch... the right venue and stand space can elevate your strategy enormously.

We know event and marketing budgets are tight, but that's why decisions matter even more.

And you've got to ask, do you have the right people around the table to make those decisions?

Not just to deliver your marketing and events calendar, but to help shape it. Trade fairs, conferences, internal staff events - every line of spend deserves proper strategic thinking behind it.

We do just that. Work with businesses as an external advisor on a simple day-rate basis. No retainer required, just experienced, independent thinking when you need it most.

If you're planning your next 6–12 months of events and marketing strategy, let's talk before the budget gets signed off.

With more and more industry-specific shows popping up across shared sectors, one thing is becoming clear... 👇

You can't do them all. And more importantly, you shouldn't.

Exhibiting properly takes time, budget, and energy. Spreading that too thin risks diluting your brand, your presence, and ultimately your return.

That's why we see it as our responsibility to help clients choose the right shows, not just more shows.

Some might say we should be pushing clients to exhibit at every opportunity. But the reality is simple: a great experience leads to repeat success. A poor one often results in no return, reduced budgets, or worse, walking away from exhibitions altogether.

We focus on where our clients can make the biggest impact, achieve their objectives, and deliver real return on investment. 📈

And for the shows we don't exhibit at? We'll still attend alongside our clients where needed, helping assess whether it's a missed opportunity or exactly the right call.

Because budgets only stretch so far. And our role is to make sure every pound is working as hard as it should.

If you want to see how we put this into practice, check out our work and get in touch for a brief chat with Jack or one of the team! 🤝

Events is one of the most demanding industries to work in, yet we don't think our mental health in events gets talked about enough.

Long hours, time away from home, high pressure usually starting days or weeks before the event goes live, and carrying on after it finishes. Then straight onto the next one.

For a lot of people, that's just "the job." You push through and move on.

But this year's Mental Health Awareness Week theme is "Take Action", and that resonates with us.

In events, we're great at taking action on logistics and deadlines, but taking action on the wellbeing of the people delivering them matters just as much.

The events industry runs on people, so the least we can do is look after them properly.

We're proud that our founder Jack Saward is a trustee for Eventwell who do incredible work in making events more inclusive both for attendees and teams, particularly by building in calm spaces.

So we're curious, what action is your organisation taking this week?

Share your ideas and thoughts in the comments.

Hillhead is unlike any other show. A quarry full of energy, live kit, and real conversations.
But only if you turn up with a plan.

In our latest article in Hub-4 Magazine, we share what separates the exhibitors and visitors who leave Hillhead with results from those who leave with sore feet and a stack of brochures.

The short version? Intent.

✅ Know who you want to see
✅ Brief your team on more than product knowledge
✅ Plan your follow-up before the show even begins

Whether you're exhibiting or attending, Hillhead is an investment of time, money and energy. The quarry provides the platform, preparation determines the return.

@scotplant day 1 proves to be a success.

Always good to get out on site to see the work we’ve produced and chat with our clients and industry friends.

The fact the sun came out and visitors came through the doors also helped!

We #encouraged Jack to make sure he got some videos, made some videos and took plenty of photos, but here’s a little snapshot of what was going on (more to come later!)

He’s going to be back in the show tomorrow so let’s see who he bumps into on day 2 @mditch84 Richardson (challenge part 2!) @the_digger_girl @strickland_mfg @molson_group @ulrichattachments @cmscepcor @rpa_earthmovingmedia @lgmglifts @mclanahancorporation @millergroundbreaking @snorkel_lifts @cpa_planthire @takeuchiuk @the1dirtmonkey @bellequipmentminingconstr @ltdkellytanks @cabcare_products @russell.conn7

One of the most expensive words in exhibitions is:
“Later.”

Later we’ll sort the stand design.

Later we’ll think about logistics.

Later we’ll confirm the build schedule.

And then suddenly it’s eight weeks out.

Now the design has to compromise.

Shipping becomes urgent.

And budgets start stretching.

We see it every year.

The exhibitors who get the most from their events are rarely the ones with the biggest stands.

They’re the ones who start earlier.

Early planning doesn’t just reduce stress. It gives you more options.

Better design decisions.

Better logistics choices.

And fewer last-minute costs.

If you’re already thinking about your next exhibition season, you’re probably ahead of most.

And that’s usually where the best results start.

And in case you've not seen - to help you sense-check your readiness, I’ve created an exhibitor-readiness scorecard - a practical checklist to run through before you commit to the exhibition.

You can also book a 15 or 30-minute audit with us to talk it through.

DM us the word 'scorecard', and we'll send it over.

We need more transparency in the events industry.

Too often in events, people are working with half the picture.

Budgets that aren’t really budgets.

Timelines that aren’t actually realistic.

Expectations that haven’t been fully discussed.

And suppliers are being brought in too late to give honest, useful advice or to solve the challenges they face.

That’s usually when stress creeps in. Costs rise. Corners get squeezed. And everyone ends up firefighting something that could have been avoided much earlier.

At Saward Marketing and Events, we’ve always believed that transparency is one of the most valuable things we can offer clients.

That means being honest about:

• What’s realistic for your budget

• What’s possible in your venue

• What needs locking in now vs what can wait

• Where hidden costs might appear

• And sometimes… whether a show is even the right fit at all

Not every conversation is the one people expect to hear, but the right advice early on is always better than a nasty surprise later.

Transparency builds trust.

Trust builds better events.

And better events are what all of us should be aiming for.

What do you think? Is our industry getting better at this, or do we still have work to do? We're keen to hear from peers and clients?
